This policy explains how Shraddha Sanskar Parivar handles personal information through this website, its linked Chovihar Chhath Saat Jatra registration form, and related communications. Information collected and its purposes
The registration form requests your name, address, telephone or WhatsApp number, email address, gender, date of birth and age. These details support registration, identification, eligibility checks and communication about the Jatra. We also use retained participant records to check whether an applicant has previously undertaken a Jatra with us, as we generally do not accept repeat yatriks.
It also requests height, weight, previous Jatra experience and medical information, such as blood pressure, diabetes or other medical conditions. The registration instructions may require medical reports. This information supports assessment of participation requirements and appropriate arrangements for the journey.
A photograph and identity document are requested for participant identification. The form also requests a parent or family representative’s name, telephone number and identity document, alongside the family acknowledgement. Before providing another person’s information, explain why it is requested and obtain their permission.
Registration payments are processed through PayU. Payment processing involves transaction and payment information handled under PayU’s privacy policy. The organising team uses registration payment information to reconcile payments and administer the Jatra.
If you contact us by email, telephone or WhatsApp, we receive the information you choose to provide so that we can respond to your enquiry. Please do not send additional identity or medical documents unless the registration team requests them.
Website services, cookies and external links
The information website links to the separate registration service rather than collecting registrations directly. It embeds YouTube videos and loads fonts from Google. Loading external resources sends technical information, such as your IP address and browser request information, to the service concerned. YouTube may collect information when an embedded player loads and when you interact with it, and may use cookies or similar technologies.
Hosting and access services may process technical information to deliver and protect the website. Where a hosting sign-in is required, that sign-in is handled by the hosting provider. The information website does not have a separate advertising or analytics tracker added by the organisers. This statement does not cover cookies or other technologies used by the separate registration platform, PayU, WhatsApp or embedded services.

Who can access information
Registration details, medical information and identity documents are accessed by the team responsible for approving or rejecting Jatra registrations. Medical and health information is used to assess suitability for participation; registrations may be rejected on medical or health grounds.
We do not share participant details or photographs with other organisations for their own use. Services used to provide the website, registration, payments and WhatsApp communications process information in connection with those services, as described in this policy. Information may also need to be disclosed where required by applicable law or a valid legal request.
Payments
PayU is the payment provider for registration. Its privacy policy explains how it handles payment and related personal information. Please review that policy when making a payment.
Never send your card PIN, password or payment OTP to the organising team. Refer to the registration terms for payment and refund conditions; this privacy policy does not change those terms.
Retention and security
We retain participant records after the Jatra to check past participation when assessing later applications, as we generally do not accept repeat yatriks. This use is for eligibility checks, not future promotions.
We do not currently have a fixed data-deletion schedule for registration details, medical reports or identity documents. These records may therefore remain with us after the Jatra; we do not promise automatic deletion after a specified period.
You may contact the privacy email address below to request deletion or ask what information is held about you. Requests will be considered in light of the records involved and any applicable legal requirements. Please contact us if you need clarification about continued retention.
Access to registration details, medical information and identity documents is held by the registration approval team. No online service can guarantee absolute security. If you believe information has been lost, disclosed to the wrong person or accessed without authorisation, please contact us promptly.
Jatra WhatsApp groups and future promotions
Before the Jatra, we create WhatsApp groups to communicate with participants about the Jatra and travel arrangements. Participants are added using the WhatsApp numbers provided during registration. Our current practice is to add participants without a separate invitation or advance permission request.
In an ordinary WhatsApp group, your phone number is visible to other group members. Your profile information may also be visible depending on your WhatsApp settings, and messages you post are visible to the group. Group members can save or forward information they receive. Please do not post identity documents, medical reports or other private records in the group.
You can leave the group using WhatsApp’s controls or contact us about group membership and how to obtain essential Jatra information. Leaving the group does not erase information that other members have already received.
Participant details and photographs are not used for future promotions or shared with other organisations for that purpose.
Your choices and privacy requests
You may contact shraddhasanskarparivar@gmail.com to ask about your information, request a correction or deletion, withdraw consent for a particular use, or raise a privacy concern. Include your name, a contact method and registration reference if available; please do not attach identity documents or medical records to the initial request.
We may need to verify your identity before acting on a request. If information is necessary to assess or organise your participation, declining to provide it or asking us to stop using it may affect our ability to process your registration. Retention required by applicable law may limit deletion. The team should explain any such limitation when responding.
Children’s registrations
Children are also accepted for registration as yatriks, subject to the organising team’s participation and health assessment. For this policy, a child means a person under 18 years of age.
A child’s parent or legal guardian should complete or authorise the registration and provide consent for the child’s personal information to be used for the purposes described in this policy. This includes the child’s identification, photograph and relevant health information, together with the parent or guardian’s details requested in the form. Please provide only the information requested for registration and assessment.
The access, use and retention practices described in this policy also apply to children’s records, including retention for checking previous participation. Children’s details and photographs are not used for future promotions or shared with other organisations for that purpose.
For a child’s registration, please provide a parent or legal guardian’s contact number for Jatra and travel communications. The WhatsApp group visibility described above applies to whichever contact number is provided; please do not post the child’s identity documents or health information in a group.
